The Business Systemisation

3 Stage Framework

3 Stage Framework

1. SIMPLIFY

Instead of working harder in your business, what if your business worked hard for you? It all starts with YOU systems; these are the systems that support you in leading your team, achieving your goals and creating the space to grow the business and pursue opportunities. Designing your ideal work week means that you can schedule in time to work in your zone of genius, spend time outside the business and ultimately work the hours you choose. To make this a reality, you have to start with the end in mind.

When you are clear what your future role is in your business, and you allocate hours to that role, you'll be able to see the systems and the people you need to have in place.

To be able to see what is happening in your business, we need to pull everything out, organise it and put it back together, it's like when you start a jigsaw puzzle. This step is called unpacking your business. What unpacking does is identify all the systems and processes you currently have, don’t have and want to have. This visual representation is what we call your Systems Infrastructure.

When all the parts of the business have been defined, it's time to develop your Systemisation Plan. There is no denying that systemising a business is intensive; however, it's the work of building assets that continue to pay dividends. The Systemisation Plan is your roadmap helping you to move forward one step and one system at a time.

“The key is seeing your business as a collection of systems"

Ideal Work Week

  • How to craft and implement your ideal work week so that you can free up time.
  • Know where you should be spending your time so you can make a bigger impact.
  • Develop a productivity system that will serve you in your business and life.

Systems Infrastructure

  • Simplify your business by unpacking all the processes and creating a structure that will form the foundation for systemising.
  • Complete 360-degree bird’s eye view of your business in terms of the activities in your business.
  • Identify the systems and processes that are missing from your business now and what you will need moving forward.

Plan

  • Your systemisation plan is the roadmap that will guide you through the systemisation process.
  • Your plan will include what to do, when to do it, who is responsible and the milestones that will keep your head clear and able to focus on implementation.
  • You'll be able to track progress as each process or procedure gets documented and implemented in the business.

2. SYSTEMISE

Writing process documentation can take many forms including workflows, checklists, how-to videos and detailed text-based instructions. The method you choose to document your process will depend on what the process is, who will be using the process, how the process will be used and what is the desired result. Process documentation isn't one size fits all, using a combination of different documentation methods, you'll get better results from your processes and keep your team engaged. Inside Business Systems Made Simple; we take you through our process for documenting processes so your team can learn the skills quickly and get on board helping with the documentation process.

Something magical happens when you first map out a process and then analyse each step to find opportunities for improvement. We developed the 12 point checklist to quickly and easily identify inefficiencies, risks, waste and discover opportunities for improvement and automation.

3. SCALE

You'll need somewhere easily accessible and safe to keep all your documented policies, procedures and training. The choices can be overwhelming, and knowing the best fit for your business and team can be difficult. We've done the research and tested the best tools and platforms to use for hosting, accessing, editing and keeping track of all your process and training documentation.

All your process and training documentation supports your business. When a team member leaves and a new person starts, it can be an expensive and time-consuming transition. Having all your process documentation and training ready to go in one online location will significantly speed up training. Also, it automates training so that a new team member can access all the information they need to do their job to the required standard.

To transform your business from unorganised to organised starts with a mindset shift and a commitment to doing what it takes. It's your role as the leader to build your culture and get your team aligned and travelling in the same direction. Often this culture step is skipped over in a rush to start documenting processes and procedures.  Bypassing this fundamental step can be expensive and time-consuming, and ultimately the systemisation efforts will fail.

Once the mind shift happens, you need to be able to articulate and document the direction you want the business to go and how you will operate moving forward. If you and your team are committed to implementing systems and processes, it will work. If you're not, it won't.

With your key processes documented, easily accessible and your team on board, you need a way to tie it all together and avoid falling back into old habits. It happens, everyone is excited to use the systems, and then things start to unravel. The processes become outdated, work gets busy, and the new systems get forgotten. The steps to prevent a whole lot of wasted time and effort is what we call the Breakthrough Strategy. Your systems and processes are living documents and values that guide the business; they require care and attention.  With a strategy for solving issues, managing processes and continuous improvement, you have the final component to mastering the systemisation of your business.

“Change can be frightening, and the temptation is often to resist it. But change almost always provides opportunities - to learn new things, to rethink tired processes, and to improve the way we work."

I was micromanaging and wearing all the hats in my business; this meant I was wasting time, money, and above all, there were inconsistencies. Since working with Wendy and her team, I have direction, order and a level of organisation that I didn’t have before. Wendy understood my situation and did a great job of bringing it all together. I am now confident that I can diversify my business and have peace of mind that my staff are getting the job done right and above all, I get to spend more time with my family.

I had the pleasure of working with Wendy during the past 18 months to build out our systems. I am the owner of a private mental health therapy clinic and I understood the need to develop clear processes to allow me to create a business that can eventually run well without me – but I had NO IDEA where to start. Wendy acted as a skilled, patient, and compassionate guide to help me move through this process. I’m not going to lie, I was overwhelmed initially, but with Wendy’s guidance and support, she was able to break it down into manageable steps and I am so proud of what I have been able to create with her assistance. I could have never completed this project or had such a polished end product without her help. I would highly recommend her services!
