The Process Documentation Program is our SOP development program for growing teams. We work with you to capture how work actually gets done, identify the most important tasks to document, and turn that knowledge into clear standard operating procedures, onboarding documentation, and training resources your whole team can find and use.
Through a guided documentation process, we work with you to:
The goal is to turn scattered documents and knowledge trapped in key people’s heads into a central system your team can use with confidence and consistency.
Over the course of the program, we move through five stages. These stages help you capture how your business operates, structure that knowledge, and turn it into practical system of SOPs your team can use as the business grows.
By the end of the Process Documentation Program, your team will have:
For growing businesses that need to improve how work gets done before they document it. The SmartOps Pathway maps and improves your core processes first, then builds a playbook your whole team can follow.
Wendy has been such a huge and vital help to the rollout and implementation of Trainual in our company! Through weekly calls, she provided numerous ways of content documentation, organization and creative ways to engage our employees.
With about 115 employees and growing, we had a ton of content to document and 115 different opinions on how best to display our company’s processes throughout our Trainual platform. I cannot recommend Wendy & her team enough! We now have the platform up and running and are efficiently and accurately training each new hire and our existing employees.
Thank you Wendy!

Getting our policies and procedures in place was a daunting task for us. When we tried in the past, it took us too much time because we didn’t know where to start. Wendy helped us document and file our procedures so that our team and any new team members could easily find the information they needed. I want to thank Wendy for the advice and help she gave us to improve our procedures and grow our business.

We start with a call to understand your business, the workflows you want documented, and how your team currently gets work done.
We work with you and your team to capture key workflows, document critical tasks, and turn them into clear standard operating procedures (SOPs) and supporting documentation.
We deliver your documentation organised into clear SOPs your team can follow, use, and build on day-to-day.
One central source of truth your whole team can rely on. We bring together your SOPs, key workflows, and training resources into one organised place, often called a business playbook, so your team knows what to do, how to do it, and where to find the answer.
Not within the Process Documentation Program itself. This service focuses on documenting and organizing how work is already done. If you need to improve workflows, redesign processes, or build operational systems before documenting them, The SmartOps Pathway is likely the better fit.
Yes. That is exactly what this service is designed for. We help you capture how work is currently done, turn that knowledge into clear SOPs and supporting documentation, and organize it into one central system your team can use. You do not need to have everything documented before starting.
Yes. The Process Documentation Program works whether you’re starting from scratch or improving what you already have. If you have existing SOPs, a knowledge base, or a playbook platform in place, we can help improve the structure, content, and usability, reorganising content, improving documentation quality, and strengthening onboarding resources so your team can actually find and use them. We’re improving how your processes are documented, not changing how your processes work.
Yes. Many businesses already have useful documentation, but it has been created at different times, by different people, and in different formats. Part of what we do is review what you already have, improve consistency in structure and style, and reorganise it so the content is clearer, easier to follow, and more useful for the team.
Yes. If keeping documentation current is an ongoing challenge, we help you put a simple maintenance rhythm in place so it stays useful over time. We can also discuss ongoing support options for businesses that want help keeping their documentation relevant as they grow.
The timeline depends on the size of your business, how much content needs to be created, how many workflows are being documented, and how available your team is to collaborate. If you already have well-documented processes, you can move faster. If more needs to be captured and organised, it will take longer. We’ll scope a realistic timeline together on your strategy call.
It depends on your situation. If you don’t have a platform yet, we recommend one based on how your team works, what you need to document, and how you want it used day to day. If you already have a platform in place, we can usually work with it and improve how it’s being used, rather than making you switch. If your current setup is no longer the right fit, we’ll tell you and suggest better options. The goal is always to choose something practical, not just add more software.
Five days. One short email each day. A practical starting point for documenting how work gets done so your team can do it without you in the middle of everything.
